For some clients, messaging discipline against the framework is the primary concern; for others, peer benchmarking matters more. The current crawler processes web pages across 7 page types. Many companies publish key messaging in annual reports or investor presentations as PDFs. Adding PDF parsing increases coverage but significantly increases crawl time and AI cost per audit.

The tool exports to Word using a clean default template. If Alma has a house template for client deliverables (logo, fonts, colour scheme), we can match it so the exported report needs no reformatting.

The tool already detects previous crawls and offers to reuse them. If Alma plans quarterly audits, we could add a comparison mode showing what changed since the last audit. This requires tracking historical scores.

The current report covers all six pillars with peer comparison and recommendations. Alma may want emphasis on certain elements — a one-page executive summary, a competitive positioning matrix, or an action-prioritisation table.

Calibrating to Alma's conventions — paragraph structure, formality, how data is presented, sign-off language — requires real examples. Even one per type makes a significant difference.

Adding a new document type requires a prompt template and input field definitions, which is straightforward. If there's a type Alma produces regularly that's missing, it's cheap to add now.

The generator includes streaming chat-based refinement — 'make it more cautious', 'add a section on dividends'. If consultants use this heavily, we can invest in making it smarter (tracking changes, suggesting refinements). If they mostly generate and copy to Word, we can focus elsewhere.

Free data (Companies House, RNS major holdings disclosures) gives the big holders but has gaps for smaller positions and international holders. Mid-tier data (Argus Vickers at ~£5-10k/year) dramatically improves coverage. Knowing the data budget shapes how we build v1.

Terms & Conditions

1. Scope of Work

Flint & Foundry ("FF") will design, develop, and deliver the tools and platform described in this proposal for the Client. The scope is limited to what is explicitly listed — additional tools or features beyond this proposal will be quoted separately.

2. Intellectual Property

All code, designs, and configurations built for the Client are owned by the Client upon full payment of the build fee. FF retains the right to reuse general architectural patterns and non-client-specific techniques in other projects.

3. Hosting & Infrastructure

The platform is hosted on managed infrastructure operated by FF. Monthly fees include hosting, maintenance, security updates, and the AI usage allowances specified per tool. The Client's data is stored in the UK/EU.

4. Data & Confidentiality

All client data is treated as confidential. FF will not share, sell, or use the Client's data for any purpose other than operating the platform. Data can be exported or deleted at the Client's request.

5. Monthly Fees

Monthly fees are billed on the 1st of each month, payable within 14 days. Fees cover hosting, AI usage within the included allowances, ongoing maintenance, and support. Extra usage beyond included allowances is billed at the rates specified per tool.

6. Support & Maintenance

Monthly fees include bug fixes, security updates, and minor configuration changes. Feature enhancements or new tools are quoted separately. Response time for critical issues: same business day. Non-critical issues: within 2 business days.

7. Termination

Either party may terminate with 30 days' written notice. Upon termination, FF will provide a full data export and assist with transition. Monthly fees cease at the end of the notice period. There is no lock-in beyond the current month.

8. Liability

FF's liability is limited to the fees paid in the 12 months preceding any claim. FF is not liable for losses arising from AI-generated content — all outputs should be reviewed by qualified professionals before use with clients.

How long does the build take?
The full platform with all selected tools typically takes 6–8 weeks from kick-off to live. Tools are delivered incrementally — you'll be using the first tools within 2–3 weeks while later ones are still being built.
What happens if we want to change something during the build?
The build process is iterative. We'll demo each tool as it's completed and refine based on your feedback. Minor adjustments are included. Significant scope changes are discussed and quoted if needed.
Can we add more tools later?
Absolutely. The platform is designed for this. Each new tool is a separate line item with its own build cost and monthly fee. Because the foundation is already built, new tools are faster and cheaper to add.
What if we want to stop using a tool?
You can remove individual tools from your monthly subscription with 30 days' notice. The platform fee continues as long as any tools are active.
Who can access the platform?
Anyone you choose. There's no per-seat fee. You control who has access and what they can see through the admin panel. All users get two-factor authentication for security.
Is our data secure?
Yes. The platform includes encrypted backups, two-factor authentication, role-based access controls, activity logging, and GDPR-compliant data handling. Your data is stored in the UK/EU and is never shared or used for any other purpose.
What happens to our data if we stop?
You get a full data export in standard formats. We'll assist with any transition needed. Your data is deleted from our systems within 30 days of termination, or retained longer if you request it.
How does the AI usage work?
Each tool includes a generous monthly usage allowance. Most months you'll stay well within the limits. If you exceed them, extra usage is available in affordable blocks — priced close to our cost, not as a profit centre.
What's the discount for selecting more tools?
Select 3 or more tools and you receive 15% off the total build cost. Monthly fees are not discounted — they're already priced to reflect the value of each tool individually.
Can we trial a tool before committing?
We can arrange a demo using sample data before you commit to the full build. For tools already built (RNS Screener, Website Audit, Document Generator), we can run a real analysis on your data as a proof of concept.
